Scheduling Moving Crews and Trucks Without the Whiteboard

The whiteboard in the office has carried a lot of moving companies a long way. Here is what it gets right, where it breaks, and how to schedule a busy day without it.

Think in capacity, not appointments

A moving company sells crew-hours and truck-days. Before you book a job, you need to know what the day can still hold: which trucks are free, which crews are available and how long the jobs already on the board will really take.

Schedule the long jobs first, then fit smaller jobs around them. A two-hour apartment move is easy to place; a full-day house move is not.

Use arrival windows customers can trust

Promise a window, not a minute. Morning jobs can start on time; afternoon jobs depend on how the morning went. Many companies give first jobs a fixed start and later jobs a two- or three-hour window, then call ahead when the crew is on the way.

Hold dates without confusing anyone

Customers often need a day or two to decide. Holding the date keeps you from double booking, but holds must look different from confirmed moves on your calendar, and they need an expiry, or the busiest week fills up with maybes.

Plan the hard days as what they are

Two-day moves, packing days, storage pickups and long-distance loads all behave differently from a standard local move. Put each on the schedule as its own job, with its own crew and truck, so the second day is never a surprise.

Close the loop the night before

The night before, confirm every job with the customer and send each crew its day: addresses, times, the customer’s phone number and anything unusual about the move. A crew that knows the plan arrives ready; a crew that finds out at the yard loses the first hour.

Keep one source of truth

The real cost of the whiteboard is not the marker; it is the photo of the whiteboard on someone’s phone that is already out of date. Whatever you use, make sure the person booking moves, the person placing crews and the crews themselves are looking at the same day.
